These Terms & Conditions govern the use of the Golforia Golf Tours website and the purchase of golf tours, golf holidays, accommodation, golf rounds, transfers, activities and related travel services arranged by Golforia Golf Tours ("Golforia", "we", "us" or "our").
By submitting an enquiry, accepting a quotation, making a payment or confirming a booking with Golforia, the customer ("Customer", "you" or "your") confirms that they have read, understood and accepted these Terms & Conditions.
Golforia provides golf-tour planning, travel coordination and related travel services. Depending on the package selected, Golforia may arrange or coordinate accommodation, golf rounds, transfers, activities, transportation and other travel-related services.
Golforia may provide these services directly or arrange them through independent third-party suppliers. Where a service is supplied by a third party, that supplier's applicable terms, conditions, rules and cancellation policies may also apply.
Submitting an enquiry through the Golforia website does not constitute a confirmed booking. A booking becomes confirmed only when Golforia has confirmed availability, the final quotation has been accepted by the Customer, the required deposit or payment has been received, and Golforia has issued written booking confirmation. Until written confirmation has been issued, Golforia is not required to hold accommodation, tee times, transfers or other services. Prices and availability may change until a booking is confirmed.
All quotations will specify, where applicable: accommodation, golf courses and rounds, number of nights, transfers, activities, inclusions and exclusions, applicable taxes and fees, payment requirements, and quotation validity. Unless otherwise stated, quotations are valid only for the period specified in the quotation. A quotation is not a guarantee of availability until the booking has been confirmed. Golforia reserves the right to correct genuine pricing or administrative errors before a booking is confirmed. Once a booking has been confirmed, the confirmed price will generally apply, subject to circumstances expressly permitted under these Terms & Conditions or applicable law.
A deposit may be required to secure a booking. The required deposit will be communicated in the quotation or booking confirmation. Unless otherwise stated: a deposit of approximately 20% may be required to confirm a booking; the remaining balance will generally be due no later than 60 days before departure; and bookings made within 60 days of departure may require full payment immediately. Golforia may apply different payment requirements to specific packages where suppliers require earlier or non-refundable payment. The payment schedule applicable to the Customer will be clearly stated in the quotation or booking confirmation.
The Customer is responsible for providing accurate information to Golforia, including full names, passport details where required, contact details, travel dates, number of travellers, golf requirements, accommodation requirements, dietary requirements, medical or accessibility requirements that Golforia needs to know about, and any other information reasonably required to arrange the trip. The Customer is responsible for checking the accuracy of all information supplied before final confirmation. Golforia will not be responsible for additional costs resulting from incorrect information supplied by the Customer.
The Customer is responsible for ensuring that they hold valid passports, visas, permits and other travel documentation required for their journey. Customers travelling internationally should verify entry, visa, passport and health requirements applicable to their nationality and destination. Failure to obtain required documentation does not automatically entitle the Customer to a refund. Golforia may provide general travel information but does not guarantee that immigration, visa or border authorities will permit entry.
Golforia strongly recommends that every Customer obtain appropriate travel insurance before travelling. Travel insurance should ideally provide cover for cancellation, interruption, medical expenses, emergency assistance, baggage, missed connections, travel delays and other unforeseen travel-related expenses. Customers are responsible for ensuring that their insurance is suitable for their individual circumstances. Golf-specific cover should be considered where appropriate.
Accommodation shown on the Golforia website is subject to availability. Accommodation may be provided by independent hotels, lodges, resorts, guesthouses or other accommodation providers. Photographs and descriptions are intended to provide a general representation of the accommodation and may not represent the exact room allocated. Where the selected accommodation becomes unavailable, Golforia will make reasonable efforts to provide an alternative accommodation of a similar standard. Where a material change is required, Golforia will communicate the change to the Customer.
Golf rounds are subject to availability and confirmation by the relevant golf course. Tee times may be changed by the golf course or other relevant supplier. Golf courses may close temporarily or alter operations because of weather, maintenance, tournaments, events, safety requirements, operational circumstances or other circumstances outside Golforia's reasonable control. Where a booked golf course becomes unavailable, Golforia will make reasonable efforts to arrange a suitable alternative. The final course and tee-time information will be communicated as part of the Customer's confirmed itinerary.
Customers must comply with the rules and requirements of each golf course. This may include dress codes, handicap requirements, pace-of-play requirements, golf-cart rules, club rules, booking conditions and local course regulations. A golf course may refuse access where a Customer does not comply with its rules. Golforia will not be responsible for a Customer being refused access due to their failure to comply with applicable golf-course rules.
Transfers and transportation may be provided by independent third-party operators. Customers are responsible for being ready at the agreed collection location at the agreed time. Additional costs caused by Customer delays, missed transfers or changes requested by the Customer may be charged to the Customer. Where transportation is delayed or changed because of circumstances outside Golforia's reasonable control, Golforia will make reasonable efforts to assist.
Golforia reserves the right to make reasonable changes to an itinerary where necessary due to supplier availability, weather, safety, operational requirements, road closures, golf-course changes, accommodation availability, transport disruptions, government restrictions or circumstances beyond Golforia's reasonable control. Golforia will endeavour to maintain the overall character and standard of the trip. Where a significant change materially affects the booking, Golforia will communicate the change and provide the Customer with reasonable options where available.
Customers may submit requests for customised golf trips. A Build Your Own Golf Trip enquiry is not a booking. The final itinerary, accommodation, golf courses, activities, transfers and pricing are subject to availability and confirmation. A customised trip becomes binding only after the Customer accepts the final quotation and completes the required payment.
Golforia may work with independent suppliers, including hotels, golf clubs, transport operators, activity providers, tour operators, restaurants and other travel-service providers. Golforia will use reasonable care when selecting and coordinating suppliers. Where a third-party supplier is responsible for delivering a service, that supplier may have its own terms and conditions.
Customers must behave responsibly and respectfully throughout their trip. Golforia may take reasonable action where a Customer's conduct creates a safety risk, causes serious disruption, damages property, threatens staff, suppliers or other customers, breaches local law, or materially interferes with the enjoyment of other travellers. Any additional costs caused by a Customer's misconduct may be charged to that Customer, where legally permissible.
Customers are responsible for their personal belongings, golf equipment, passports, money and valuables. Customers should use appropriate travel insurance and accommodation security facilities where available. Golforia is not responsible for loss or theft of personal belongings except to the extent required by applicable law.
Customers are responsible for determining whether they are medically and physically able to participate in their planned activities. Customers should inform Golforia of relevant accessibility or special requirements before booking so that reasonable arrangements can be considered. Certain activities may have their own participation requirements or restrictions.
Golforia will not be responsible for failure or delay caused by circumstances beyond its reasonable control. Such circumstances may include natural disasters, severe weather, pandemics or epidemics, government action, civil unrest, strikes, transport disruptions, road closures, war, terrorism, infrastructure failure, supplier failure, airport or border disruption, or other extraordinary events outside Golforia's reasonable control. Golforia will make reasonable efforts to assist affected Customers and identify alternative arrangements where reasonably possible. Any refund will be dealt with in accordance with the applicable supplier terms, the Customer's booking terms and applicable law.
Customers may cancel a booking by providing written notice to Golforia. Cancellation charges will depend on the date cancellation is received, the departure date, the services booked, amounts already committed or paid to suppliers, supplier cancellation terms, the ability to resell the services, and applicable law. The detailed cancellation terms are set out in Golforia's Cancellation Policy.
Refunds will be processed in accordance with the Refund Policy. Where a supplier has retained or charged a cancellation amount that cannot reasonably be recovered, that amount may be deducted from any refund due, subject to applicable law. Golforia will not retain amounts that it is legally required to refund.
Customers should raise any issue with Golforia as soon as reasonably possible while travelling so that Golforia has an opportunity to investigate and attempt to resolve the matter. Complaints should preferably be submitted in writing after the trip if they cannot be resolved during the trip. Golforia will investigate complaints fairly and reasonably. Nothing in these Terms & Conditions limits any rights available to the Customer under applicable South African consumer-protection legislation.
Golforia will exercise reasonable care in arranging and coordinating the services included in a booking. Nothing in these Terms & Conditions excludes or limits any liability that cannot lawfully be excluded or limited under applicable law. To the extent permitted by law, Golforia will not be responsible for losses arising solely from circumstances outside Golforia's reasonable control or from the acts or omissions of independent third-party suppliers. Nothing in these Terms & Conditions is intended to deprive a Customer of any mandatory rights provided by applicable law.
Golforia will collect and process Customer information in accordance with its Privacy Policy and applicable South African data-protection legislation, including POPIA where applicable. Customer information may need to be shared with relevant suppliers where reasonably necessary to provide the booked services.
Golforia endeavours to ensure that website information is accurate and up to date. However, information such as availability, pricing, photographs, course conditions, accommodation facilities and supplier services may change. The final confirmed booking documentation takes precedence over general website information where there is a difference.
All website content belonging to Golforia, including logos, branding, text, graphics and original images, may not be reproduced or commercially used without written permission. Third-party trademarks and content remain the property of their respective owners.
These Terms & Conditions are governed by the laws of the Republic of South Africa. Nothing in these Terms & Conditions prevents a Customer from exercising rights available under applicable consumer-protection legislation.
Golforia may update these Terms & Conditions from time to time. The Terms applicable to a confirmed booking will generally be those accepted by the Customer at the time the booking was confirmed, subject to any mandatory legal requirements.
